Scheduling Automated Reports

Set up reports that run and deliver automatically to your inbox on a recurring schedule.

Overview

Scheduled reports automatically run and deliver a report export (CSV or PDF) to nominated email addresses on a recurring schedule — daily, weekly, or monthly.

Creating a scheduled report

  1. Go to Admin > Reporting > Reports > New/Past Report > and select/view the report you want to schedule.
  2. Apply the filters you want (date range, cohort, course, etc.).
  3. Select the cog wheel > Save Preset > Name > Save Preset.
  4. Back in Reporting, click Scheduled Report > New Scheduled Report > Name > Select Preset > Next.
  5. Set the frequency: Daily, Weekly (choose day of week), or Monthly (choose day of month). Click Next.
  6. Give access to other users if applicable. Select Send Email Alert. If this is unselected, no email will be sent, and only a notification will display in Acorn.


     
  7. Click Next > Yes, Save Schedule.

Managing scheduled reports

  1. Go to Admin > Reporting > Reports > Scheduled Reports.
  2. Click View on your specific report.
  3. Click Edit to modify reporting.
  4. To delete a report, toggle off the Active button > Edit > Delete.

Dynamic date ranges

Use dynamic date ranges in scheduled reports so the report always covers a rolling period, e.g.:

  • Last 7 days: Always covers the 7 days before the report runs.
  • Current month: Covers the month the report runs in.
  • Last month: Covers the previous calendar month.

Troubleshooting scheduled reports

  • Report not arriving: Check the recipient's email suppression list and spam folder.
  • Empty report: No data matched the filters for that period — check the filter settings.
  • Wrong data: Review the saved filters — a cohort or course filter may be too narrow.

Who receives scheduled reports?

Any email address can receive a scheduled report — recipients do not need to be Acorn users. Ensure you comply with your organisation's data sharing policies before adding external recipients.
