Momentum Nodes

This article will teach Momentum Workflow Admins what each of the available Momentum nodes are, and what they do!

Firstly, what is a Momentum Node?

You can think of a Node as a step in the workflow. Essentially, each node represents an action within the momentum workflow. For example, emails being sent, forms to be filled out and submitted, waiting periods applied etc...

The available nodes types are:

Trigger Nodes

Form Nodes

Email Nodes

Wait and Junction Nodes

Terminal Nodes

 

Trigger Nodes

A trigger node defines how a momentum application is started. Please see each available trigger node and a description of how they work:

Manual Creation

The "User Created Application" trigger node instructs the workflow to be triggered by a user clicking on the START NEW APPLICATION button from within the momentum.

External Learning

The "Created External Learning" trigger node allows you to start the workflow at the creation of an external learning. This means if your users create an external learning from their My Learning page, it will trigger an application to be created in this momentum workflow. 

Note: You need to apply the external learning form you want this to apply to within the "Created External Learning" node.

Creation of User

The "On Create User" trigger node allows you to start the workflow at the creation of a new user. This means when a user is first created, it will trigger an application to be created in this momentum workflow. Consider this for your next onboarding or account setup momentum!

Note: This node can also be configured to trigger when a user first logs in and requires you to select between user creation and user first login within the node settings.

On Course Enrolment

The "On Course Enrolment" trigger node allows you to start the momentum workflow when a user enrols into a course. This can be used for example to automatically remind users to complete the course or send feedback requests.

This node also allows you to sync multiple course enrolments together (enrolling in one enrols the user in them all) as well as chain multiple momentums together if you use the node which enrols users into a course alongside this one.

For example: Enrolling a user into a course triggers a momentum that enrols a user into a course that triggers a momentum...

On Course Completion

The "On Course Completion" trigger node allows you to start the momentum workflow when a user completes a course. This trigger is very flexible and can be used in many different ways. For example, this node can be used to enrol a user into subsequent content after completing the initial content, send feedback requests, or to notify administrators that users are completing specific content.

Form Nodes

The Form Node represents a specific step in the workflow where the nominated assignee responds to a form configured by the administrator. While the form node itself is not the actual form, it serves as a container for the customisable form, allowing you to tailor it to collect the precise information needed from the user completing the form.

Email Nodes

The Email Node allows admins to automate emails to be sent to designated users at any point throughout the momentum workflow. For example, this is often used to notify applicants, admins, supervisors etc... when a form has been completed, or to update the assignee or to advise a user of an action outstanding for them to complete.

Wait and Junction Nodes

The Wait Node is part of a function within Momentum that allows you to have a waiting period within a stage of the Application.
The Wait Node will essentially hold applications in the node until it is prompted to allow the applications through. 
Options you can choose from when formatting a waiting period are as follows:
  • Cron - (This will allow you to schedule intervals of when the Application will be allowed to push through. E.g.'On the second day of each month', or'Every Monday, Wednesday, and Friday every two Weeks'.
  • Application Start Date - 'X amount of days/ weeks/ months from the application start date is when the application will be allowed through the Wait Node'.
  • Node Entered Date - 'X amount of days/ weeks/ months from when the application entered the Wait Node is when the Application will be allowed through'.
  • Application Owner Creation Date - 'X amount of days/ weeks/ months from when the Application Owner user account was created is when the application will be allowed through the Wait Node.
  • Constant Date - Used in conjunction with the 'Date Select' Field within a Form. This will allow you to set 'X amount of days/weeks/months from a date selected within a Form, from a static date, or from the date of the users enrolment or completion'.

Junction Nodes

The new Junction Node does nothing by itself, but can still have all the usual momentum functionality attached. This means it can be used in more complex momentum setups, allowing for chains of logic and transitions to be easier to setup and visualise.

Assign Nodes

Assign Owner

The "Assign Owner" node allows the current momentum application to be transferred or assigned to a different user within the workflow. Ownership can be assigned to a pre-determined static user, meaning the same user is assigned ownership each time, or dynamically based on a user selection field in a form. This flexibility ensures the right user is designated as the application owner as the workflow progresses.

Assign to Cohort

The "Assign Cohort" node assigns a user to a pre-determined group or cohort as part of the workflow. This grouping helps organise users into specific categories based on defined criteria, such as role, department, or other characteristics. Once a user passes through this node, they are automatically placed into the specified cohort, enabling targeted actions such as enrolments, communications, or permissions tailored to that group.

User Management Nodes

Create User

The "Create User" node automatically creates a new user account when the application passes through this node. The first name, last name, and email address for the new user is taken from information provided in the designated form fields from a form node within the workflow.

Suspend User

The "Suspend User" node automatically suspends a user account when the application passes through this node. This could be used as part of a leave request form, or to manage active users within your tenancy.

Update External Learning

The "Update External Learning" node can be used to update an existing external learning with new information. It can be configured to update any field in the external learning, with field responses from the momentum application or any other static information. This can be used to add an approval step for external learning, so that the momentum is only marked as completed when an admin reviews and approves it.

Enrol User

The "Course Enrolment" node automatically enrols a user into a pre-determined course when the application transitions through the node. This ensures that users are seamlessly added to the relevant course without manual intervention, streamlining the process and ensuring timely enrolment into the appropriate learning content as part of the workflow.

Mark User Completion

The "Course Completion" node marks a user as complete for a pre-determined course when the workflow transitions through the node. The completion date can be set dynamically at the time of the transition, assigned based on a pre-determined static date, or selected through a date field in a form. This node streamlines the completion process, ensuring accurate and timely course completion records

Terminal Nodes

The Terminal Node indicates the end of the Workflow/ Application.

When an application reaches Terminal, this can be because the application was rejected at any stage, or it can simply mean the success of an application is complete, reaching its last actionable stage.

Each Terminal Node can be configured to represent the stage at which the application reached its end.
