User Roles in Acorn

This guide provides a brief description of the different user roles and their permissions.

For permissions associated with each user role see the Acorn User Role Permissions table.

Acorn Administrator

Acorn administrators have full permissions across ALL tenancies within an Acorn site. For example, they have the ability to:
  • Create, edit and delete users.
  • Manage Cohorts, and assign Roles.
  • Create, edit and report on all content.
  • Apply and edit workflows, edit email and form templates, update tenancies and dashboards.

Tenancy Administrator
Tenancy administrators have full permissions but only within the tenancy they have been granted the tenancy administration role for. Therefore they do not have permission to manage settings that apply across tenancies, such as creating a new tenancy and setting up content sharing pathways.

User Manager

User Manager is an administrative role that grants elevated permissions for user management functions.

User Managers have access to the following admin functions:

  • Create and update users
  • Merge user accounts
  • Manage cohorts
  • Bulk user upload
  • Bulk course enrolments
  • Session attendance approvals
  • Access to reporting and schedule reports

Content Creator
Content creators have the ability to create courses and live learnings. Once the course or live learning has been created, the Content Creator will automatically be assigned as a Facilitator.

 


Facilitator (Assigned within Courses/ Live Learnings)
Facilitator is a role that can be assigned to users in Courses and Live Learnings. Facilitators have the same permissions as a Tenancy Administrator but only within the subset of Courses or Live Learnings specified by a Tenancy Admin. The exception is that facilitators are unable to delete Courses and Live Learnings.

 


Supervisor (Assigned via Bulk User Uploads or HR Feeds)
Supervisor is a role that can only be assigned via Bulk Uploads or HR feeds. Supervisors have additional visibility over a specified group of users. The supervisor can run reports, enrol, approve registrations for this specific group only. The group of users is assigned via the bulk user upload process, or via a regular HR feed.



Reporting Officer (Found in Admin > Reporting > Reporting Officers)

A reporting officer is a designated user whose access makes them able to create reports. This access can be granted to anybody by the tenancy administrators, or Acorn administrators at Acorn.

Onboarding User (Enabled via the 'Onboarding' tenancy feature)

Onboarding is a specialised role in the system that becomes available when the onboarding feature is switched on. Users who are assigned this role can only access the content within the onboarding course via the onboarding view. This role can only be enabled via the 'Onboarding' Tenancy feature.

 

Instructor (Within Live Learning Sessions)

Instructors are roles built into Live Learning sessions. Instructors will be able to withdraw users, take attendance, email registrants, and view the Session log for Live Learning sessions. Instructors will receive emails regarding changes to the Session and can filter the calendar within Acorn to see which Sessions they are instructing. Users viewing the Session will be able to see who the instructors are.

External Instructor (Within Live Learning Sessions)


External instructors are instructors that do not have accounts in the Acorn. External instructors will receive emails regarding changes to the Session. Users viewing the Session will be able to see who the external instructors are.
