A Live Learning Integration connects a video conferencing platform to a Face-to-Face session in Acorn, so a meeting space is created automatically instead of you setting one up elsewhere and pasting the join link in by hand. Acorn currently integrates with Zoom, Microsoft Teams, Adobe Connectand GoToWebinar.
Why It Matters
Normally, running a Face-to-Face session that happens online means someone has to create the meeting manually in the video platform, copy the join link, and paste it into Acorn. Then remember to update it if the date or time changes, and cancel it if the session is cancelled. Multiply that across a busy training calendar, and it adds up to a lot of double-handling, plus plenty of room for a stale or broken link to slip through.
With an integration connected (Microsoft Teams currently supports the fullest set of these), Acorn does that work for you:
- Automatic meeting creation. A meeting is created for each session date, scoped to the exact start and end time. No manual setup.
- Stays in sync. If you reschedule or cancel the session in Acorn, the meeting updates or cancels right along with it.
- Join links, handled. Learners get a working join link automatically, delivered in their confirmation email and calendar invite (.ics), so there's no separate step to send it out.
- Automatic attendance (Microsoft Teams). When a learner clicks through into the Teams meeting from their personal link, Acorn can record them as attended, so no one needs to cross-check a participant list afterward.
How You Might Use It
A couple of common patterns:
- Recurring compliance or onboarding sessions. These run on a regular cadence, so set up the integration once and every future date is handled the same way, with attendance tracked automatically for reporting.
- Ad hoc sessions that change often. If session times shift based on facilitator availability, the meeting always matches what's in Acorn, so learners never click into an outdated link.
Getting Set Up
There are two parts to this. The integration is first enabled for your tenancy (a one-time setup, arranged through Acorn Support), and then anyone running Face-to-Face sessions connects their own account to create meetings. For Microsoft Teams, this can be set up as a shared connection, available to your whole tenancy, or private, just for the person who set it up. This choice is permanent once set.
